Accelerating B2C Quotations Through Intelligent Automation
A mid-sized European construction company wanted to speed up its quotation process for residential clients while maintaining accuracy and brand consistency. Internal “calculators” - specialists responsible for creating detailed cost estimates - faced increasing demand and manual workload.
Subduxion partnered with the client’s operations teams to design a quotation assistant powered by AI that helps estimators prepare tailored offers faster, with real-time material pricing, rule-based validation, and dynamic document generation based on numerous of historical data.
The project’s goal was twofold: reduce turnaround time from inquiry to offer, and give internal teams a smarter, easier way to manage repetitive pricing logic - freeing time for complex, high-value bids.
Manual Workload, Tight Deadlines, and High Expectations
Quotation requests had grown significantly as the company expanded its B2C business line. Each request required retrieving historical pricing, checking material availability, and ensuring compliance with local building standards.
These manual steps often caused bottlenecks - quotes took days, not hours. Accuracy depended on individual estimators’ memory and spreadsheets, creating inconsistencies and risks of underquoting.
How can we speed up our quotation process and make it more consistent without losing the personal, expert touch our customers expect?

SOLUTIONS
From Workflow Mapping to Human AI Collaboration
Subduxion began by observing and mapping the full quotation workflow - from customer intake to final approval. Together with internal calculators, we identified friction points and standardized recurring patterns (project types, component sets, regional adjustments).
We then developed a retrieval-augmented AI assistant integrated with the company’s CRM and cost database.
The assistant supports estimators by:
Suggesting reference offers based on historical projects.
Automatically retrieving updated material and labor costs.
Highlighting potential compliance or margin issues.
Drafting structured offer text for client-ready documents.
To ensure trust and usability, we ran a pilot with 10 senior estimators, offering in-tool guidance and feedback buttons (“Was this quote suggestion useful?”). Weekly iteration sessions helped align AI output with the company’s cost model and tone of voice.

RESULTS
A Reliable Copilot for Calculators
The resulting assistant functions as a true copilot - not a replacement. It sits inside the company’s internal portal, accessible through secure authentication.
When a new customer request arrives, the assistant proposes a draft estimate, prefilled with relevant materials, cost assumptions, and optional upgrades. Estimators can adjust, approve, or regenerate sections instantly.
Every AI-generated suggestion references its data source and revision history, ensuring full transparency and compliance. The system’s modular design allows future expansion - from predictive margin optimization to automated quote follow-ups.
